Planning canvas

When it's time to plan out a meeting with the meeting sponsor (the person who stands to gain the most from the outcome of the meeting), try guiding your discussion with this planning canvas template.

Created in collaboration with team coach and leadership expert Marsha Acker, the planning canvas helps you focus your discussion on your desired meeting outcomes with questions like:

— What do you want to leave the meeting having accomplished? — Who is the right group of people to attend this meeting? — What will the scope of their decision-making be?

Make the most of your meeting with a meeting planner template

It’s no secret that meetings take effort in order to be productive. It can take a lot of work simply to make sure that everyone who needs to attend is in the same place at the same time. However, many people overlook the importance of planning the meeting beyond logistics. This can take a bit of time up front, but ends up improving a meeting's effectiveness and efficiency in the long run.

Meetings can serve a variety of purposes, and in order to properly facilitate a meeting, those in charge should be fully aware of what the purpose of the meeting is and how they need to structure it.

You can take care of this crucial step with the help of meeting planning templates. Lucidspark’s customizable planning canvas allows you and other meeting facilitators to identify the desired outcomes of your meeting and determine what elements need to come together in order to achieve those outcomes.

Our template also provides a convenient way to refer back to your plan during the meeting, as well as a way to take further notes so all relevant parties can have access.

How to use the meeting planner template in Lucidspark

To prepare for any important meeting, first share our meeting planner template with the meeting sponsor and any other necessary personnel via the Lucidspark canvas. You can customize each section of the template to your needs, but some points you may want to consider include:

  • The meeting purpose: Why are you meeting?
  • Attendees: Who is the sponsor of this meeting? Who will attend, and what will their roles be?
  • Meeting outcomes: What are the desired outcomes of this meeting?
  • The date, location, and logistics: When will the meeting take place? How long will you need to achieve its purpose and outcomes? Where will it be held? What setup will be required?
  • Decision-making: What decisions will be made? How will those decisions be made? What is the team’s scope of authority?
  • The meeting experience: What kind of experience do you want participants to have?
  • Meeting topics: What topics do you need to consider in your planning? What information should be gathered beforehand?

After you customize your template, you and the other meeting facilitators can use our color-coded sticky notes to add points to each section. You can also use our Tagging feature to keep related sticky notes organized and the Notes panel to keep track of necessary considerations as you guide your meeting.

Effectively facilitating a meeting means planning it out beforehand. If you use this meeting planner template to plan your meeting rather than simply letting it happen, your meeting will be more engaging, productive, and successful.
